1. Who We Are
SalonFlow ("we", "our", "the Platform") is a software-as-a-service product operated by SalonFlow Technologies, India. Our registered email is support@salonflow.in. This Privacy Policy explains how we collect, use, store, and protect the personal data of salon owners, managers, and their clients ("Users") who access our platform at salonflow.in.
2. Information We Collect
Account data: salon name, owner name, email address, phone number, city, and address provided during registration or onboarding.
Booking & service data: appointment records, client names, service descriptions, and pricing that you enter into the platform.
Payment data: UPI IDs you provide for advance-payment collection. We do not process or store card numbers. Payments via Razorpay are governed by Razorpay's own privacy policy.
WhatsApp session data: When you link your WhatsApp number via QR scan, we process inbound and outbound messages solely to operate the booking automation. We do not read, store, or analyse conversation content beyond confirming or cancelling bookings.
Usage data: Log files, IP addresses, browser type, pages viewed, and feature interactions, collected automatically to improve the service and detect abuse.
Communications: Emails you send to our support address.
3. Legal Basis for Processing (GDPR / PDPA)
We process your data on the basis of: (a) contract performance — to deliver the service you subscribed to; (b) legitimate interests — to prevent fraud, maintain security, and improve the platform; and (c) your consent — for optional marketing communications which you may withdraw at any time.
4. How We Use Your Data
Operate, maintain, and improve the SalonFlow platform
Hostinger International Ltd. — email delivery via SMTP
Google LLC — Firebase authentication, Google Maps Places API
Cloud hosting provider — for infrastructure and database storage
Law enforcement — when required by a valid court order or applicable Indian law
All sub-processors are bound by data-processing agreements and are required to maintain appropriate security standards.
6. Data Retention
We retain account data for as long as your account is active and for 90 days after deletion to allow for recovery or legal compliance. Booking records are retained for 3 years. You may request deletion at any time by emailing us — we will action requests within 30 days except where retention is required by law.
7. Data Security
We employ industry-standard security measures: TLS/SSL encryption for all data in transit; bcrypt hashing for passwords; encrypted storage for sensitive fields; access controls limiting data access to authorised personnel only; regular security reviews. However, no internet-based system is completely secure, and we cannot guarantee absolute security.
8. Cookies
We use strictly necessary session cookies for authentication and CSRF protection. We do not use third-party advertising cookies. Analytics data is collected in aggregate and anonymised.
9. Your Rights
You have the right to access, correct, export, or delete your personal data. You may also object to certain processing or withdraw consent for marketing at any time. To exercise any right, email support@salonflow.in. We will respond within 30 days.
10. Children
SalonFlow is not directed at children under 18. We do not knowingly collect data from minors.
11. Changes to This Policy
We may update this policy from time to time. The "Last updated" date at the top will reflect any changes. Continued use of the platform after changes constitutes acceptance.

Terms of Service

1. Acceptance of Terms
By registering for or using SalonFlow ("Service", "Platform"), you ("User", "you") agree to be bound by these Terms of Service and our Privacy Policy. If you do not agree, you must not use the Service. These Terms constitute a legally binding agreement under the Information Technology Act, 2000 and applicable Indian law.
2. Description of Service
SalonFlow provides salon management software including appointment booking, WhatsApp-based booking automation, client management, analytics, and payment facilitation. Features may be added, modified, or discontinued at any time with reasonable notice.
3. Eligibility & Registration
You must be at least 18 years of age and a legal resident of India to use the Service. You agree to provide accurate, current, and complete registration information and to update it promptly if it changes. You are responsible for all activity that occurs under your account.
4. WhatsApp Bot Usage
By linking your WhatsApp number via QR scan, you confirm that: (a) you are the authorised account holder of that number; (b) you will use the bot only for legitimate salon booking communications with clients who have consented to receive them; (c) you will not use the bot to send spam, unsolicited marketing, or any content prohibited by WhatsApp's Terms of Service. Violations may result in immediate account suspension. SalonFlow bears no liability for WhatsApp account restrictions arising from User misuse.
5. Subscriptions & Billing
Paid plans are billed monthly in advance in Indian Rupees (₹) via Razorpay. Subscriptions auto-renew unless cancelled before the next billing date. All prices are inclusive of applicable taxes unless stated otherwise. SalonFlow reserves the right to change prices with 30 days' notice. Continued use after a price change constitutes acceptance.
6. Cancellation
You may cancel your subscription at any time from your Billing page. Cancellation takes effect at the end of the current billing period. Access continues until that date. No refund is issued for the remaining period except as described in our Refund Policy.
7. Payments via Razorpay
Payment processing is provided by Razorpay Software Pvt. Ltd. By making a payment, you also agree to Razorpay's Terms of Service and Privacy Policy. SalonFlow does not store card numbers or sensitive payment credentials.
8. Acceptable Use
You agree not to: (a) use the Service for any unlawful purpose; (b) attempt to gain unauthorised access to any part of the Service or its infrastructure; (c) transmit viruses, malware, or harmful code; (d) reverse-engineer, decompile, or create derivative works from the Service; (e) resell or sublicense the Service without written permission; (f) use automated scraping or data extraction tools against the Service.
9. Intellectual Property
All software, designs, trademarks, and content on the Platform are owned by SalonFlow Technologies and protected by applicable intellectual property laws. You retain ownership of the data you input. You grant SalonFlow a limited licence to process your data solely to provide the Service.
10. Data & Privacy
Use of the Service is subject to our Privacy Policy. You are responsible for obtaining any necessary consents from your salon clients before collecting or processing their personal data through the platform.
11. Limitation of Liability
To the maximum extent permitted by law, SalonFlow shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of revenue, loss of data, or business interruption, arising from your use of or inability to use the Service. Our total aggregate liability for any claim shall not exceed the amount paid by you in the 3 months preceding the claim.
12. Disclaimer of Warranties
The Service is provided "as is" and "as available" without warranties of any kind, express or implied, including fitness for a particular purpose or uninterrupted availability. We do not warrant that the Service will be error-free or that defects will be corrected.
13. Indemnification
You agree to indemnify and hold harmless SalonFlow Technologies, its officers, employees, and partners from any claims, losses, or damages (including legal fees) arising from: (a) your use of the Service in violation of these Terms; (b) your violation of any third-party rights; (c) your content or data input into the Service.
14. Termination
SalonFlow may suspend or terminate your account immediately, without prior notice, if you breach these Terms, engage in fraudulent activity, or if required by law. Upon termination, your right to use the Service ceases. You may request a data export within 30 days of termination.
15. Governing Law & Dispute Resolution
These Terms are governed by the laws of India. Any disputes shall be subject to the exclusive jurisdiction of the courts of India. Before initiating legal proceedings, parties agree to attempt resolution through good-faith negotiation or mediation.
16. Changes to Terms
We may update these Terms at any time. Material changes will be notified via email or in-app notice at least 14 days in advance. Continued use after the effective date constitutes acceptance.

1. Overview
This policy applies to all paid subscription plans on the SalonFlow platform. SalonFlow Technologies is committed to fair and transparent billing. Please read this policy carefully before purchasing a plan.
2. Subscription Plans
SalonFlow offers monthly subscription plans billed in advance via Razorpay. The Starter plan is free. The Pro and Business plans are paid. All subscriptions are in Indian Rupees (₹) and are subject to applicable GST.
3. 7-Day Refund Window
If you are not satisfied with your first paid subscription on SalonFlow, you may request a full refund within 7 (seven) days of the initial payment date. Refunds under this clause are granted at our sole discretion after reviewing the account for abuse.
Eligibility conditions:
The refund request must be submitted within 7 days of the first payment
Applies only to the first subscription purchase — not to renewals
The account must not have been used to send bulk spam or violate our Terms of Service
The subscription must not have been purchased using a coupon or promotional offer that explicitly excluded refunds
4. Non-Refundable Situations
The following are explicitly non-refundable:
Renewal charges after the first billing cycle
Partial months — we do not prorate unused subscription time
Accounts terminated for violating our Terms of Service
Payments made after the 7-day refund window has closed
Promotional or discounted subscriptions where refund exclusion was noted at purchase
5. Cancellation
You may cancel your subscription at any time from your Billing settings page. Cancellation stops future renewals but does not trigger a refund for the current billing period. You retain access to paid features until the end of the period you have paid for.
6. How to Request a Refund
To request a refund, email support@salonflow.in with the subject line "Refund Request". Include:
Your registered email address
Your Razorpay payment ID or transaction reference
Reason for the refund request (optional but helpful)
We will acknowledge your request within 2 business days and process eligible refunds within 5–7 business days. Refunds are returned to the original payment method via Razorpay.
7. Refund Processing
Approved refunds are processed through Razorpay back to the original payment source. The time for the refund to appear in your account depends on your bank or card issuer and is typically 5–10 business days after we initiate it. SalonFlow is not responsible for delays caused by the banking system.
8. Disputes & Chargebacks
We encourage you to contact us before raising a payment dispute with your bank. Chargebacks initiated without prior contact with our support team may result in account suspension pending investigation. We cooperate fully with Razorpay's dispute resolution process.
9. Changes to This Policy
SalonFlow reserves the right to modify this Refund Policy at any time. Changes will be posted on this page with an updated effective date. The policy in effect at the time of your purchase governs that transaction.
